How to sync data to Hubspot

As an admin, you can decide which ImpactPilot data points sync into HubSpot:

  • Go to app.impactpilot.io → Settings → Data Sync
  • Select which properties you want to sync
  • Click Sync all properties to push them into HubSpot

In HubSpot, you’ll find these under Settings → Company properties. Search for ImpactPilot to see the mapped fields.

👉 Note: AI Agent outputs (e.g. Risk Detection) are pushed to HubSpot automatically — no extra setup required.

Basic Report: Accounts Impacted (yes/no)

You can build a report of impacted accounts to track which customers were impacted in the current cycle and display this on your dashboard.

Steps to create the report:

  1. Go to your dashboard and click Add report → Create report.
  2. Choose a Single object report and select Companies.

Add the property Accounts impacted in this cycle to your selected properties.

    In the Visualisation tab, add:

    • Accounts impacted (Yes/No)
    • Count of companies

You can choose to display this as a bar chart, vertical bar chart, or a number summary.

  3. To exclude unknown values, go to Advanced filters → filter on Accounts impacted = Known.

Saving and using the report:

  • Click Save report and give it a clear name (e.g. Accounts impacted in this cycle).
  • Add the report to your dashboard.
  • Once added, you can rearrange the widget on your dashboard to fit your preferred layout.

This report gives you clear visibility into how many accounts were impacted in the current cycle, helping you and your team to measure progress more effectively.

Basic Report: Impact Points per Customer Journey Stage

This report shows how many impact points have been achieved per customer journey stage. It helps you understand where most effort and value creation is taking place across the customer lifecycle. You can choose any type of grouping instead of customer journey stage, for example per CSM, market or ARR.

Steps to create the report:

  1. From your dashboard, click Add report → Create report.

Choose a Single object report and select Companies.

    Add the following properties:

    • Customer journey stage
    • Impact driver points
  2. In Visualisation, select a Vertical column chart to display stages on the X-axis and impact driver points on the Y-axis.
  3. Review the overview: you’ll now see each customer journey stage with the total points achieved.

Saving and using the report:

  • Click Save report, and name it (e.g. Impact points per customer journey stage).
  • Add it to your dashboard and arrange the widget where it fits best.
  • Once added, you can rearrange the widget on your dashboard to fit your preferred layout.

This report gives you a clear overview of which journey stages are driving the most impact, helping you to prioritise focus and resources.

Basic Report: Impact Driver - Won/Pitched

This report shows the number of impact drivers that are pitched vs. won, giving you visibility into open opportunities versus completed drivers. You can also segment this view by market (or any other property) to compare across groups.

Steps to create the report:

  1. From your dashboard, click Add report → Create report.

Choose a Single object report and select Companies.

    Add the following properties:

    • Impact drivers won (this cycle)
    • Impact drivers pitched (this cycle)
    • (Optional) Segment to group the data (e.g. by market).

In Visualization, select a Vertical bar chart.

    • Display both Impact drivers won and Impact drivers pitched.
    • Group them by segment to compare across markets.

Saving and using the report:

  • Click Save report, and give it a name (e.g. Impact drivers: Won vs. Pitched).
  • Add the report to your dashboard, where you can position it alongside your other widgets.

This report helps you quickly see how many drivers are still open (pitched) versus completed (won), and compare progress across different customer groups.

Advanced Report: Impact Driver Deep Dive

You can create a dashboard that gives detailed insights per impact driver. This helps you and your team understand progress per driver, split by CSM, date range, or other filters.

Steps to create the report:

  1. From your dashboard, click Add report → Create report.
  2. Choose a Single object report and select Companies.
  3. Add properties for all Impact Drivers you want to track (from the ImpactPilot property group).

Also add the Company owner (CSM) to split results by user.

In Visualization, choose a Table view:

    • Select an Impact Driver (e.g. Integration from Marketplace) and display the Count of companies.
    • Add Company owner as an additional column to see results per CSM. (make sure to put this below the Impact Driver to get a good overview in the table)
  4. Use Filters to remove unassigned accounts or narrow by specific CSMs.
  5. Save the report with the Impact Driver’s name (e.g. Auto-renewal clause edit) and add it to your dashboard.

Tips for using the dashboard:

  • Add multiple Impact Driver reports to create a full overview of all drivers you want to monitor.
  • Apply quick filters to focus on specific CSMs or date ranges (e.g. “this quarter”).
  • Click on a number in the table to see the list of companies tied to that specific Impact Driver — a quick way to access underlying details.

This setup gives you a flexible, deep-dive dashboard to monitor progress per Impact Driver and slice the data by owner or time period.

Advanced Report: Daily Impact Driver Report

The Daily Impact Driver Report helps you track, on a daily basis, which Impact Drivers have been won or pitched. It can be segmented by CSM, Impact Driver, or time frame (e.g. quarter, month, day).

What this report shows:

  • Top widget: Overview of Impact Drivers won vs. pitched per CSM. Check out the 'Basic Report' guides above to understand how to create the top widgets.
  • Table widget: Daily list of recently closed Impact Drivers, sorted by activity date.

Steps to create the table widget report:

  1. Start with a Custom report (because multiple data sources are needed).

Select Company as the primary data source and Activities as the secondary.

    In the Table format, include:

    • Company name
    • Company owner
    • Activity date (sort descending to show the latest first)

Note body (to capture the Impact Driver details)

      Add filters:

      • Lifecycle stage = Customer (only include active customers).
      • Note body contains “has been closed won” → shows won Impact Drivers.
  2. Save the report as Closed won Impact Drivers and add it to your Daily Impact Driver dashboard.

Tracking pitched Impact Drivers:

  • Duplicate the report, but change the filter from “has been closed won” to “has been pitched.”
  • Save as Pitched Impact Drivers and add it to the same dashboard.

Tips for using the report:

  • Apply date filters (daily, monthly, quarterly) to change the level of detail.
  • Filter by owner to drill down on the Impact Drivers of a specific CSM.
  • Click on an entry in the table to see all related company details for that Impact Driver.

This setup gives you a clear daily overview of progress, helping CSMs and managers stay on top of both won and pitched Impact Drivers.
