Working with processes
1. Find your processes
Click Processes in the ImpactPilot menu. The All tab lists every process with its progress, cycle, segment and customer count. Each process also has its own tab. Above the list you see your points, your rank and the top three contributors.
2. Read a process
Open a process tab to see one row per customer and one column per activity. Each dot is one occurrence:
| Dot | Meaning |
|---|---|
| Green | Completed |
| Green, purple ring | Completed by the AI |
| Purple | In progress |
| Red | Period ended, not completed |
| Grey | Not started yet |
The progress bar shows completed points against possible points. In recurring processes, a thin marker shows where progress should be today.
Tip: filter Progress on Behind expected once a week and work through that list.
3. Complete an activity
- Click a dot in the grid, or open a customer and go to the Processes tab in the sidebar.
- In the activity panel, select the occurrence.
- Set the status to Not started, In progress or Completed. It saves immediately.
You can only change occurrences whose period has started. View history shows every change and who made it.
4. Run actions
The activity panel lets you act without leaving ImpactPilot: create a HubSpot task or deal, or generate an email, chat message or summary. Recommended actions come first; the rest are under Other actions. Each opens a form prefilled for the customer.
Running an action does not complete the activity by itself. Mark it Completed, or let the AI detect it.
5. AI completions and approvals
The AI completes many activities for you when it finds evidence in a customer's emails, calls, meetings or notes. Open the occurrence to see what triggered it and why. Wrong? Click Undo.
Some activities need approval first. When suggestions are waiting, a button "N activity transitions need approval" appears on the Processes page, the process tab and the customer sidebar.
- Click the button to open the review list.
- Hover a row and Approve (completes it and banks the points) or Reject (optionally add a note).
6. Reminders and points
Reminders for incomplete activities appear on the Signals page under Activities.
Points (1–3 per activity) are banked when an occurrence is completed and taken back if it's reopened or undone. They stay when a customer leaves the process, but are lost if the process is deleted. You only appear in the ranking if your Leaderboard setting is on.
